What is Multiple User Accounts?

Multiple User Accounts is a new standard feature of the Merchant Interface. It enables each employee who needs access to your organization's payment gateway account to have a unique login ID and password to the Merchant Interface-basically, their own individual user account. Each user's account can also be configured to include permissions to specific Merchant Interface features and functionality that match the employee's job responsibilities.

For additional information on the new Multiple User Accounts feature of the Merchant Interface, please see the  Multiple User Accounts Merchant Preparation Guide.

Do I have to do anything? / How do I get set up?

All you need to do to begin creating user accounts is activate the Multiple User Accounts feature for your payment gateway account. You will be prompted to do this in the Merchant Interface. Ideally, the person who first signed up for your payment gateway account or the person who logs into the Merchant Interface most often should complete activation as he or she will need to verify the current account login information. In addition, the person that completes Multiple User Accounts activation will be automatically configured as an Account Owner-an account user with the highest level of permissions to the Merchant Interface. (Please note that additional Account Owners can be added.)

If you cannot confirm account information for purposes of activating Multiple User Accounts, you can skip the activation page until the appropriate person logs in to complete Multiple User Account activation.

If you do not have the information needed to complete activation or you do not know who should complete activation, please contact your supervisor or co-worker that manages the payment gateway account.

Activation includes three easy steps for the Account Owner:

The new User Login ID and User Password configured on this page will be associated only with the person who completes the Multiple User Accounts activation.

For more information about activating Multiple User Accounts for your payment gateway account, please see the "Activating Multiple User Accounts" section of the Multiple User Accounts Merchant Preparation Guide, starting on page 4. You can also view a Web demo of Multiple User Account activation at http://www.authorize.net/demos.

How does creating a new User Login ID affect my current login ID?

When activating Multiple User Accounts, you or the person who completes activation will be prompted to create an entirely new User Login ID for accessing the Merchant Interface.

Moving forward, the old login ID for the payment gateway will still be used for transaction processing. It is important that you do not update your payment gateway integration with the new User Login ID. Doing so will result in a disruption of payment gateway service.

Am I supposed to use my new User Login ID to submit transactions using my integration method?

NO. Although your old login ID will no longer be valid for accessing the Merchant Interface, it will still be used by the payment gateway for transaction processing. Do not update your payment gateway integration.

Why does my password need to be 8 characters now instead of 6?

Longer passwords provide stronger account security. The release of Multiple User Accounts gave us the opportunity to make several payment gateway security enhancements.

For more information about strong passwords, please see the Password Policy White Paper.

How do I create user accounts?

Only users configured as Account Owners or Account Administrators can add user accounts.

Step 1: Log on to the Merchant Interface.

Step 2: Click User Administration in the left side menu.

Step 3: Click + Add User on the User Administration page toolbar.

Step 4: Select the type of user you would like to add from the User Role drop-down list.

Step 5: Further customize the new user account by clicking to deselect the check boxes next to any user permissions that should not be enabled for the user.

Step 6: Click Next > to continue.

Step 7: Create a User Login ID for the new user in the Login ID text field.

Step 8: Enter the user's First Name, Last Name, Title, Phone Number, Extension and E-mail Address(es).

Step 9: Select the e-mail types you would like the user to receive.

Step 10: Click Submit to continue. A message appears displaying the new user's Login ID and Temporary Password.

For detailed information on how to add, edit, or otherwise manage user accounts, please see the Merchant Interface Online Help Files (log on to the Merchant Interface and click Help in the top right menu).

Note: If you had multiple account contacts configured in your old Merchant Interface account, the payment gateway automatically created Account Contact user accounts for each pre-existing contact. You do not need to create new user accounts for those existing contacts from scratch; however, you might need to upgrade their user roles in order to establish the appropriate permissions.

How do I create different login IDs and passwords for each of my employees?

When creating a new user, an Account Owner or Account Administrator will be prompted to provide a new, individual User Login ID for that user. Once the user is created, the payment gateway will provide the Account Owner or Account Administrator with a temporary password with which the new user can log on to the Merchant Interface.

For detailed information on how to add, edit, or otherwise manage user accounts, please see the Merchant Interface Online Help Files (log on to the Merchant Interface and click Help in the top right menu).

How do I set up users with different payment gateway account permissions?

The Multiple User Accounts feature includes five basic user roles that can be further customized on a per-user basis to match job responsibilities. When creating a new user, an Account Owner or Account Administrator will select the user role that best describes the individual's job responsibilities. He or she will then be able to deselect any of the default Merchant Interface permissions associated with the selected user role that should not be granted to the new user.

The five basic user roles are:

More information on the different user roles can be found in the "How Multiple User Accounts Affects You" section of the Multiple User Accounts Merchant Preparation Guide, starting on page 3.

What is the Payment Gateway ID?

Previously known as the Authorize.Net ID or Merchant ID, Payment Gateway ID is the new name for the number that uniquely identifies your payment gateway account. This number is displayed in the Merchant Interface as well as the billing and transaction receipts you receive from the payment gateway. With the release of the Multiple User Accounts feature, the Payment Gateway ID is the primary value for identifying your payment gateway account.
